Webex Teams
Accessing Webex teams
- Download the Webex teams application from https://www.webex.com/downloads.html
- Install the application on your computer by following the prompts
- After the installation is complete, launch the application.
- Enter your full seminary email address and select Next.
- You will then be brought to a PTS Branded Sign In page. Enter your full PTS email address and password.
- Click Sign in.
- As your sign in your will be brought to the main Webex Team space. From here you can create new spaces, start chats with people and groups, schedule and host Webex meetings, share and collaborate on documents.
Contact people directly
- Open the Webex Teams application and Sign In.
- Locate the search option across the top of the screen and press the + button
- Select the option to Contact a Person
- The contact person search wizard should populate. In this field you can search for people via email or name. If person you are looking to communicate with is not a member of the seminary community, you can add people outside of the seminary by entering their email address and invite them to Webex Teams for free.
- Once you have found and selected the person you would like to communicate with, they will appear on the left-hand menu in your list of chats and spaces.
- Select their name and begin the chat using the message fields on the right-hand side of Webex Teams.
Create a Space
- Webex Teams “Spaces” are meant for a team of people to process and handle communication for the whole team. This is similar to a group chat.
To create a space:
- Open Webex Teams and Sign In
- Locate the search option across the top of the screen and press the + button
- Provide the Space a Name
- Add people by email or name. if you are adding a person who is not a member of the seminary community, please use their email address.
- Click Create when done.
- The new space will appear in your conversation directory on the left-hand menu of Webex teams.
- Select this space and use the message fields on the right-hand side of Webex Teams to begin the conversation.
If you need to add additional people to an existing space
- Select the space from the conversation directory
- Click the ellipsis button (…) on the upper right hand corner of Webex Teams to open the additional actions menu
- Click on the People Icon
- Click Add People
- Enter a person’s email address or name and select them. If you are adding a person who is not a member of the seminary community, please use their email address to invite them to the space
If you are the creator of a Space, you have access to a set of options to further customize functionality of the space itself.
- To the left of the Space name is a small
button. This is the Space Information button.
- After clicking on that info button, you will be able to see a list of options to be able to adjust the following. Those who are not a moderator will be able to see these settings but not edit them outside of notifications and leaving the space.
Schedule a Webex meeting
Due to its integration with Webex Meetings, you can schedule a Webex meeting with and individual or with all the members of a team directly within Webex Teams.
- Open Webex Teams and Sign In
- Locate and select the person or team space that you would like to schedule a Webex Meeting with in the conversation directory
- Click the Ellipsis button (…) on the upper right-hand corner of Webex Teams to open the actions menu.
- Click the schedule button.
- You will be brought to a list of scheduled meeting for that person/group. Select the Schedule a meeting.
- Your default email and calendar program to complete and send the invitation.
- Once sent, schedule meeting should appear within you Webex Teams space.
- As the meeting approaches you will be presented with a start button to begin the meeting.
Start video chat
Webex Teams allows you to start video/audio chat with a individual or team directly within the application
- Open Webex Teams and Sign In
- Locate and select the person or team space that you would like to schedule a Webex Meeting with in the conversation directory
- Click on the Call/meet button on the upper right-hand corner of the screen
Using the white board
Webex Teams offers a digital and collaborative whiteboard option for the group to take notes, write and share quick notes and ideas, etc.
- Open Webex Teams and Sign In
- Locate and select the person or team space that you would like to schedule a Webex Meeting with in the conversation directory
- Click the Ellipsis button (…) on the upper right-hand corner of Webex Teams to open the actions menu.
- Click on the Whiteboard option
- Click New Whiteboard and a Digital whiteboard will be created
- For the tool palette on the whiteboard, Use the pen and color options to make any marking. Use the Eraser to remove any mistakes.
- Click the share button on the lower right-hand corner to Post it to the chat.
Uploading files
Webex Teams allows you to share documents within a team space or individual by adding the file to the chat. This will also keep the file as a historical item in the chat.
- Open Webex Teams and Sign In
- Locate and select the person or team space that you would like to schedule a Webex Meeting with in the conversation directory
- To add the file:
- Click on the Paper clip icon – A navigation window will appear to locate and select the file
- Drag and drop the file to the message field. Press enter when done
- The file will then be uploaded for the group or person.
To view existing files in the chat
- Click the Ellipsis button (…) on the upper right-hand corner of Webex Teams to open the actions menu.
- Click the files button
- A list of all files for the chat will show. If needed you can download the file by selecting the file and click the download arrow.
Start a meeting using your Personal Webex Room
With Webex Teams being integrated with Webex Meetings, you can utilize your personal Webex meeting room to host meetings. This feature is good for impromptu meetings or the need to quickly connect and share information.
- Open Webex Teams and Sign In
- Select the Meetings button on the Left toolbar
- This will bring up the meeting page. Any upcoming meeting will be displayed here
- You can copy and share your personal meeting room URL (https://ptsem.webex.com/meet/firstname.lastname)
- Click Start meeting to begin hosting. As people click on the link they will be added to the meeting.
